Privacy Statement
Purpose
To ensure that information provided to tribal administration is used for the purposes it has been provided, as per the privacy statement provided on the Tribal Registration application form and the privacy principles of the Privacy Act 1993.
Rationale
The information is obtained principally for
• the purpose of distribution of settlement proceeds,
• to assist in the administration of tribal matters, including elections to the Board and Te Kauhanganui
• to assist in the governance and administration of 67 marae named in the fifth schedule and
• and to identify members entitled to settlement benefits.
Guidelines
1. Applications for registration on the tribal register must be verified by nominated kaumaatua from the marae nominated on the registration form. For validation purposes, the application forms will be sighted by these kaumaatua but no copies are to be made
2. The tribal register is available for inspection at the Tribal registration office, Tainui Endowed College, Hopuhopu, Ngaaruawahia, during the hours of 9 am to 5 pm weekdays. The register may also be available for inspection at tribal events such as poukai, koroneihana.
3. Enquiries regarding registration and information contained in the register should be made to the Tribal Registration Unit, Private Bag 542, Hopuhopu, Ngaaruawahia or by phoning 0800 104 412 during the hours of 9 am to 5 pm weekdays.
4. A printout of the persons registered to each of the 67 marae will be supplied once annually to each marae committee, upon receipt of up to date details of the executive of the marae committee. These details are to be supplied annually, after the annual marae election.
5. The details supplied to each marae must only be used for the purposes the information was collected. This includes advising marae members about Annual General Members and other marae matters. The information must not be used for any other purpose or shared with any other agency, organization, body or individual, private or Crown. A statement of intent must be completed by the marae chairman before the information will be supplied.
6. A privacy officer will be appointed by the WRLT to ensure that these policies are adhered too.
This policy will be reviewed annually.
